1. About PAfolio
PAfolio is a cloud-based revalidation portfolio tool for UK healthcare professionals, including Physician Associates, Registered Nurses, and Nursing Associates. It helps you organise and maintain your CPD, WBAs, MSF, patient feedback, and other revalidation records in one place.
By creating an account and using PAfolio you agree to these Terms of Service. If you do not agree, please do not use the service.
2. Your account
- ✓You must be aged 18 or over to create an account.
- ✓You must provide accurate information when signing up, including your name, email address, and professional registration number (GMC or NMC).
- ✓You are responsible for keeping your login credentials secure. Do not share your password with anyone.
- ✓You are responsible for all activity that takes place under your account.
- ✓If you suspect unauthorised access to your account, contact us immediately at support@pafolio.co.uk.
3. Subscription plans and billing
PAfolio is offered on monthly or annual subscription plans. Prices start from £3 per month (excluding VAT). Current pricing is shown on our Pricing page.
Billing cycle
Monthly subscriptions renew automatically each month. Annual subscriptions renew automatically each year. You will receive a receipt by email after each payment.
VAT
All prices shown are exclusive of UK VAT. VAT will be added at the current rate (20%) at checkout where applicable.
Payment method
We accept major debit and credit cards via Stripe. Your payment details are handled directly by Stripe and are never stored by PAfolio.
Price changes
We may change subscription prices with at least 30 days' notice by email. If you do not wish to continue at the new price, you may cancel before the change takes effect.
4. Free trial and beta access
We may offer a free trial period or beta access to new users from time to time.
- ✓Free trial periods are available to new accounts only, unless otherwise stated.
- ✓No payment is taken during a free trial. A valid payment method must be provided to start a paid subscription after the trial ends.
- ✓We may offer beta access to features that are still in development. Beta features are provided as-is with no guarantee of availability or accuracy.
- ✓We reserve the right to end a free trial or beta programme at any time with reasonable notice.
5. Cancellation
Your right to cancel
You may cancel your subscription at any time, for any reason. This is your right under the UK Consumer Contracts Regulations 2013. When you cancel, you retain access to the service until the end of your current paid billing period. You will not be charged for the next renewal.
How to cancel
Cancel from your account settings page, or email support@pafolio.co.uk and we will process your cancellation within one business day.
After cancellation
Your portfolio data is retained for 30 days after cancellation so you can export it or reactivate your account. After 30 days, your data is deleted.
No penalty
There is no cancellation fee. Annual subscriptions are not subject to an early-termination penalty beyond the refund window described in Section 6.
6. Refunds
14-day right to a refund
Under the UK Consumer Rights Act 2015, if you are not satisfied with the service and have not substantially used it, you may request a pro-rata refund within 14 days of your initial purchase or annual renewal. Contact us at support@pafolio.co.uk to request a refund.
“Substantially used” means having logged and saved multiple portfolio entries. Accessing the dashboard or logging in does not constitute substantial use. Refunds are processed within 5–10 business days to the original payment method. Monthly subscription fees are generally non-refundable after the 14-day window.
7. Acceptable use
PAfolio is a personal professional portfolio tool. By using it you agree to the following:
- ✓Your account is for your individual professional use only. Account sharing is not permitted.
- ✓You will not attempt to access other users' accounts or data.
- ✓You will not upload any content that is unlawful, harmful, or infringes any third party's rights.
- ✓You will not attempt to reverse-engineer, scrape, or disrupt any part of the service.
- ✓You will not use the service in connection with any fraudulent or misleading activity.
We reserve the right to suspend or terminate accounts that breach these terms without notice. In cases of serious breach, no refund will be issued.
8. Your data and content
You own your portfolio data
All portfolio entries, reflections, documents, and other content you create in PAfolio belong to you. We do not claim any ownership over your professional records.
Licence to store and process
By storing content on PAfolio, you grant us a limited, non-exclusive licence to store, process, and display that content solely for the purpose of providing the service to you. We do not use your portfolio data for any other purpose, and we do not share it with third parties except as described in our Privacy Policy.
Exporting your data
You can export your portfolio data at any time from your account settings. We will support data portability on request as required by UK GDPR Article 20.
9. Service availability
We aim for 99% uptime for paid subscriptions, but we do not guarantee uninterrupted access. Scheduled maintenance will be communicated in advance where possible. Free tier access may experience downtime during maintenance windows. We are not liable for losses arising from service interruptions beyond our reasonable control.
10. Limitation of liability
Important — professional responsibility
PAfolio is a portfolio tool, not a clinical safety, compliance, or regulatory guarantor. Responsibility for your professional registration, revalidation compliance, and clinical practice remains entirely with you. PAfolio does not verify the accuracy of the information you enter, and we do not provide regulatory or legal advice.
To the extent permitted by law:
- —Our total liability to you for any claim arising out of or in connection with these terms or the service is limited to the amount you paid us in the 12 months preceding the claim.
- —We are not liable for any loss of data, loss of profit, loss of business, or any indirect or consequential loss, even if we were advised of the possibility.
- —Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.
11. Intellectual property
The PAfolio platform, including its design, software, branding, and documentation, is owned by PAfolio and is protected by UK and international intellectual property law. These terms do not grant you any rights to our intellectual property other than the right to use the service as described.
12. Changes to these terms
We may update these Terms of Service from time to time. If we make material changes, we will notify you by email at least 14 days before they take effect. Continued use of the service after that date constitutes acceptance of the revised terms.
13. Governing law
These Terms of Service are governed by the law of England and Wales. Any disputes arising under these terms will be subject to the exclusive jurisdiction of the courts of England and Wales, without prejudice to your statutory rights as a consumer.
